Slide 1: Accessible Presentations Made Easy
Slide 2: This is a short tutorial for creating an accessible text version of your presentation in PowerPoint using the “Outline” feature.
Slide 3: Why bother?
- Outlining helps organize your content and makes for clearer presentations.
- It creates a text alternative for those who don’t have or can’t use PowerPoint
- Some Web users are still on slow connections and cannot download large ppt files
- Text files are accessible to people with vision and motor impairments; PowerPoint is not.
Slide 4: Here’s how
Slide 5:
1. Open the Outline tab in the left-hand column

2. Type in some text. It will appear as a headline on the corresponding slide.

3. Hit “enter” to start the next slide.
Slide 8:
4. To add text to the body of a slide, hit “CTRL+enter”
- That creates a bullet point
- Additional “enter” actions add bullets
Slide 9. Continue to outline your presentation in this manner
Slide 10: When you’re done, you can go back and
- Format text with fonts, colors, etc.
- Add shapes
- Add graphics
- Etc.
Slide 11:
You may also wish to use the “notes” panel
- To add narration that will play in synch with the slides
- To add explanatory or footnote text
These notes will will be available via a “notes” button in the Flash slideshow, so Web visitors can follow along.
Slide 121. When you’re all done
- Highlight all the text in the outline panel
- Copy the text to the clipboard (CTRL-C)
- Create a new file in any word processing program
- Paste in the text (CTRL-V)
- Save the file in plain text (.txt) format.

You’ve just created an accessible version of your PowerPoint presentation!
